Information We Collect
SignTheDoc collects personal information that you voluntarily provide, such as your name, email address, mobile phone number, company or organization, password, and billing details, along with any information you share when you create an account, request support, or complete a form on our website.
When you use the service to send or sign documents, we process the contents of those documents and the details of the people you designate as recipients or signers, including their names, email addresses, and, where you provide it, their phone numbers. To generate a tamper-evident audit trail, we also record technical details of each signing session, including IP address, browser and operating system, and timestamps.
We automatically receive technical information from your device, including your IP address, browser type, access times, website usage activity, and similar analytics data. Payment information is handled securely by our payment processors and their authorized partners; we do not store full payment card details on our servers.
How We Use Your Information
Your information is used to deliver and manage the electronic-signature service. This includes preparing and sending documents, rendering pages and placing fields, sealing completed documents, generating audit trails, servicing your account, providing customer support, and processing payments where applicable.
We also use your information to send transactional and account communications by email, and — where you have provided the required consent — marketing and promotional communications, including marketing and promotional text messages. We use information to improve our website, personalize your experience, analyze service performance, maintain internal business records, prevent fraud, secure our systems, and comply with legal and regulatory obligations.
Sharing and Disclosure
We share the documents you send with the recipients you designate, as that is the purpose of the service. We may also share information with trusted service providers who support our operations — such as cloud hosting and storage, analytics tools, email and SMS delivery providers, and payment processors. These parties are permitted to use your information only as necessary to perform their designated functions and are bound by confidentiality obligations.
Information may also be disclosed when required by law, in response to valid legal process, or to protect our rights, customers, business operations, or staff.
SMS and Text Messaging
If you provide your mobile number and check the SMS consent box, we use it to send marketing and promotional text messages about SignTheDoc. Message frequency varies and message and data rates may apply. You can opt out at any time by replying STOP, as described in our Mobile Terms of Service.
Document Confidentiality
The documents you upload are yours. We access their contents only as needed to provide the service — for example, to render pages, place fields, and generate a completion hash — and to comply with law. Documents are encrypted at rest and in transit.
Where you use SignTheDoc to handle information protected under the Health Insurance Portability and Accountability Act (HIPAA), such use is governed by a separate Business Associate Agreement, and we maintain the administrative, technical, and physical safeguards that agreement requires.
Cookies and Tracking Technologies
Our website may use cookies, local storage, tracking pixels, and analytical tools to enhance functionality and understand how visitors interact with the site. These technologies support features such as session management, website performance, and personalization. Depending on your location and applicable laws, including the GDPR and CCPA/CPRA, you may have rights to access, correct, update, export, restrict, or request deletion of your personal information, and to opt out of non-essential communications. To exercise these rights, contact us using the details at the end of this policy, and we will respond within a reasonable timeframe, subject to any legal retention obligations.
Data Retention
We retain completed documents, their audit trails, and other personal information for as long as needed to provide the service, maintain business and legal records, resolve disputes, and comply with tax and other regulatory obligations. You can delete documents and request account deletion, subject to legal retention requirements. Once information is no longer required, it is securely deleted or anonymized.
Children's Privacy
SignTheDoc is intended for adults. We do not knowingly collect or solicit personal information from individuals under the age of 18. If we learn that information from a minor has been inadvertently collected, we will promptly delete it.
Third-Party Websites and Integrations
Our website and product may contain links to, or integrations with, external services operated by third parties, such as cloud storage providers and CRM systems you choose to connect. SignTheDoc is not responsible for the privacy practices, content, or security of any external service.
