Templates are the highest-leverage feature in SignTheDoc and the most under-used. Most teams discover that three or four document types account for the large majority of their volume — and those are the ones worth building properly.

A good template does more than save typing. It enforces your process: locked clause text that a well-meaning salesperson cannot edit, prefilled company details that cannot drift, and a signing order nobody has to remember to configure.

How it works

Step by step

    Save a prepared document as a template

    Take any document you have already set up — fields placed, recipients assigned — and save it. Everything about the configuration is preserved, including reminder cadence and expiry.

    Swap people for roles

    Assign fields to roles like Client, Approver, or Account Manager rather than to specific email addresses. A role-based template is filled in at send time by whoever is sending, which is what makes it reusable across a team.

    Decide what is locked, prefilled, or open

    Lock anything legally reviewed. Prefill and lock anything derived from your systems. Prefill but leave open anything the sender legitimately varies. Leave open anything only the signer can know.

    Share it with permissions

    Move it to the team library and set who can send versus who can edit. Most teams want everyone able to send and a small group able to edit, so the revenue team can move fast without anyone quietly altering an indemnity clause.

Reusable templates, specifically

Nothing — in-flight documents reference the version they were created from. That said, editing in place loses your ability to answer "what did this template say in March", so we recommend creating a new version and archiving the old one.
